Duties and responsibilities
Order and maintain full records of building/office access cards and AECOM lanyards
+ Responsible for answering all incoming calls, knowledgeable in using telephone system to accomplish this task
+ Maintain and update stationery & pantry for monthly inventories and stocks.
+ Assist with preparation for special meetings and events.
+ Provide admin support for departments when needed such as (reports, letters, and taxi bookings)
+ Schedule drivers for the pickup of new joiners in the designated hotel and other management service requests.
+ Monitors weekly vehicle usage and updates in the weekly tracker of mileage.
+ Assist senior management with expense reports (Amex & cash).
+ Ensure the cleanliness of reception and always deliver excellent customer service.
+ Screen calls, route them to their proper recipient, and take and relay messages as needed.
+ Distribute incoming and outgoing mail, eliminate junk mail, and identify those of the highest priority.
+ Manage the conference/meeting room bookings of the whole office.
+ Updating the internal telephone directory on regular basis.
+ Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories.
+ Responsible for ensuring that timecards are submitted on time, adjusting as required, and entering timecards for employees who do not have access to ORACLE.
+ Always cover the desk and ensure that guests have completed the HSE induction and received a visitor badge in exchange for their IDs.
Minimum Requirements
+ At least 3 years of experience as a Receptionist.
