Part-Time Jobs in Alberta, Canada, The responsibilities of this position cover the following areas:

  • Provide administrative assistance specific to student records administrator;
  • Ensure data is current through Powerschool to School Admin;
  • Request and submit student cumulative files throughout the school year, for incoming and outcoming students;
  • Support Student Records Administrator in maintaining communications records with Alberta Education;
  • Maintain ongoing records/revisions, including SCM (Submit Course Marks) files, using PASIprep;
  • Exam Reports – PAT Results/Diploma Results;
  • Preliminary Reporting of Students for grades 6 and 9 PATs;
  • Language Program Data Entry;
  • Support the Student Records Administrator in submitting Grades 10-12 final course marks via SIS and ensuring registration for Diploma exams and Provincial Achievement tests;
  • Provide support in accordance with the Student Records Regulation to parents and students regarding student records;
  • Support the secondary leadership team in providing transcripts for students;
  • Support the secondary leadership team in registering students for Distance Learning courses;
  • Provide support to Principals with the administration of Provincial Achievement Tests and Diploma Examinations;
  • Utilize Pick-A-Time or a similar database to set up semi-annual parent-teacher interviews and student-led conference interview times;
  • Serve as a backup receptionist at lunchtime and for half of the school; and
  • Other related duties, activities, and special projects as required.

Administrative Assistant

Qualifications:

  • A diploma or equivalent work experience in a relevant field;
  • Prior experience in a student records role;
  • Highly professional oral and written communication skills;
  • Proven ability to demonstrate discretion and maintain confidentiality;
  • Ability to work independently and be a self-starter;
  • Competent technology skills, including strong abilities in Microsoft Office, is required;
  • Prior experience with Powerschool is an asset; and
  • A valid first aid certificate, or willing to obtain.

The successful candidate will need to provide an updated Police Information Check with Vulnerable Sector Screening and proof of full COVID-19 vaccination (two shots approved by Health Canada) prior to commencing work.

Skills, Technical and Behavioural Competencies Required:

  • Knowledge of Powerschool database or other student records databases;
  • Exceptional attention to detail;
  • French would be an asset but is not required;
  • This position is largely sedentary (desk-based);
  • Ability to work at the keyboard for extended periods of time; and
  • Interpersonal skills that foster collegiality and the common goals of CFIS’ mission, vision, and values.

Salary:

As per the CFIS hourly pay grid.
